MyHub Workspace Renewal Tasks Automatic Escalation Policy Change
ALERT: The AvePoint MyHub governance platform automatically assigns renewal tasks that allow Microsoft Team workspace primary and secondary contacts to periodically review and re-certify contacts, members, owners, external guests, permissions, and sharing links as part of a Microsoft Teams governance framework. On July 7, 2023, an updated policy will go into effect that will automatically archive the Microsoft Teams workspace if the MyHub Team workspace renewal task is not completed by the contacts within the 30-day grace period.

New Renewal Task Workflow Process:

  • The renewal task is assigned to workspace contacts with a reminder email sent every 3 days.
  • Use the link within the email notification to launch MyHub online, or go to your Teams Application, select MyHub US… from the left menu and navigate to the “To-do list” tab to complete the renewal task.
  • If the task is not completed within 15 days, it is considered ‘Overdue’ and will be escalated to DTI Avepoint Admins.
  • Reminders will continue to be sent to workspace contacts every 3 days.
  • After 30 days, the task will display as “Expired” in MyHub and the workspace is archived with read-only access.
  • The workspace will be automatically restored from archive once the renewal task is completed by the workspace contacts.
 

ACTION:

No Action Required Now. Primary and Secondary contacts managing Project/Committee Team workspaces will need to complete renewal tasks every 180 days, and contacts managing Organizational Team workspaces will need to complete renewal tasks every 365 days, both based on the Team creation date.
